You will be the gate keeper of the management team of Grid Technologies Service, organizing trips, coordinating important business appointments, filtering non relevant topics and driving overall work efficiency in a very proactive and pragmatic way.

How You’ll Make an Impact
- The Personal Assistant (f/m/d) is the first point of contact for internal and external partners regarding all topics related to the Global Head of Grid Technologies Service. Responsibilities include assisting with administrative and organizational tasks in daily business and performing general secretarial tasks in both the front and back offices.
- Arranging (international) business trips for the Head of Grid Technologies Service and coordinating these with colleagues worldwide, including handling expense reports, is required.
- The role involves organizing and planning conferences, work meetings, workshops, and visits by internal and external colleagues and business partners (both from Germany and abroad), including handling bookings for hotels, restaurants, and transport. Additionally, small projects are driven forward independently while maintaining the confidentiality of sensitive or proprietary information.
- Sole responsibility for organizing the manager’s calendar, complex appointment coordination, and business meetings for the team and external customers (in Germany and abroad) is required. The role also includes serving as a quality gate for meetings, ensuring clear objectives and documentation for productive outcomes while coordinating with stakeholders.
- Processing correspondence in German and English is essential, as well as independently answering emails, telephone calls, and meeting requests. Ensuring the flow of information and documents according to priorities and deadlines is also part of the role.
What You Bring
- Completed commercial apprenticeship or a completed degree (Bachelor) and at least 3 years of professional experience as a Personal Assistant (f/m/d), preferably at senior management level in a large company or a comparable environment.
- Confident handling of and experience with management at all hierarchical levels
- Very good knowledge of MS Office (Outlook, Word, Excel, PowerPoint, Copilot)
- Very good knowledge of travel booking and accounting as well as confident and friendly manner, ability to work in a team and a high sense of responsibility
- Fluent in German and English (written and spoken) for confident communication with our national and international interfaces.
- Comprehension and intercultural experience desirable as well as a result-oriented mindset to manage time effectively, strong interpersonal skills, ambition, initiative, learning ability and quick comprehension
